Temporarily located at Buchanan Tower, Stepps, you will be responsible for the maintenance and administration of grant systems within Learning and Leisure Services and support and supervision of clerical staff.
Relevant experience of working in an administration setting and in dealing with the public and public sector bodies is required along with experience of budgets. You must be well organised, highly motivated and have the ability to work under pressure and to tight deadlines. You must also be articulate and have the ability to prioritise and work on your own initiative.
You must possess Standard Grade English and have a good working knowledge of Word Processing, Spreadsheets and/or Databases. An HNC or HND in a relevant discipline is desirable. Work Pattern: Wednesday, Thursday, Friday.
Job Description
Job Outline:
1. Support and supervision of clerical staff as directed by the Quality Assurance and Support Manager.
2. Assessment of grant applications against eligibility criteria for grant schemes within Learning and Leisure Services.
3. Liaison with applicants on the detail of applications.
4. Preparation of schedules of applications and reports for committee.
5. Administration and co-ordination of assessment of grant applications and preparation of summary reports to the Quality Assurance and Support Manager.
6. Reviewing and updating grant schemes and administrative processes to ensure compliance with Corporate Guidance.
7. Provision of support and communication with elected members regarding applications submitted under Community Grants Scheme.
8. Provision of support and communication with elected members regarding ward allocation and committee expenditure.
9. Provision of advice and guidance to voluntary organisations and community groups on grant schemes and other funding sources available to them.
10. Provision of advice and guidance to voluntary organisations and community groups to ensure competent applications are submitted to the Council.
11. Liaison with other services regarding submitted applications.
12. Operation of the Grants Management Information System.
13. Budget monitoring and the processing of orders and invoices.
14. Development of I.C.T. solutions (such as databases and spreadsheets) to assist in the storage and retrieval of information.
15. Liaison with other departments and agencies.
16. Undertaking such duties and responsibilities as may be required in terms of the Health and Safety at Work Act 1974.
17. Contributing to the Council's equality policies and schemes.
18. Ensuring the effective management of resources.
19. Contributing to the continuous professional development process.
20. Participation in authority wide working groups and initiatives.
21. Preparation and submission of reports and evaluations including statistical returns.
22. Any other duties as assigned.
