Based in the Civic Centre, Motherwell, you will work as part of a Committee Services Team undertaking a range of duties associated with the servicing and administration of the Council, its Committees and Working Groups, as well as ancillary general administrative tasks, including responsibility for staff supervision.

You should have a minimum of one year's relevant administrative experience and good communication, inter-personal, organisational and IT skills. You should have the ability to work within agreed deadlines and to work effectively as part of a team, along with the ability to use your own initiative within established procedures.

A further education qualification in Public or Business Administration, knowledge of local authority procedures and the ability to deal with elected members, officers of the Council and members of the public would be a benefit.

Job Description

Job Outline:

The Administrative Assistant post is within the Central Services Division of Corporate Services and the post-holder will work as part of one of the Committee Services Teams undertaking a range of duties associated with the servicing and administration of the Council, its Committees, Sub-Committees and Working Groups, as well as a range of general administrative duties.

Main Duties and Responsibilities:

1. Assisting in the provision of a comprehensive Committee and Secretariat facility for a number of Committees, Sub-Committees and other bodies such as Working Groups, Joint Committees, the Children's Panel Advisory Committee and such other joint working arrangements with which the Council becomes involved or for which it undertakes responsibility, in particular -

(a) assisting with the collation of Services' reports, and relevant papers for inclusion in Committee agenda;

(b) attending Committee meetings and other meetings with senior officers or on behalf of senior officers for the purpose of accurately recording proceedings and preparing draft minutes;

(c) assisting with the co-ordination and proof reading of minutes following final revision by the Clerk to the Committee and arranging reproduction;

(d) assisting with the action required to ensure implementation of all decisions taken;

(e) providing assistance in checking notices, reports, agendas and minutes into the Committee minutes information technology system;

2. Undertaking such administrative duties as may, from time to time, be allocated to the post in an effective and efficient manner in accordance with prescribed Service and Divisional performance targets;

3. Assisting with the delivery of an administrative support service to elected members, Council Services and the public;

4. Preparing draft Road Traffic Orders and newspaper adverts; notifications; acceptance of contracts; and booking of conferences.

5. Processing general correspondence and dealing with enquiries from other Services and members of the public.

6. Such other duties as may, from time to time be ascribed to the post.
