Located in the Civic Centre, Motherwell, you will work as part of a Committee Services Team providing support with the collation and distribution of Council and Committee business papers. Your duties will involve the preparation of outgoing mail, delivery of internal mail, dealing with telephone enquiries, filing, photocopying and typing.
You will have a minimum of one year's relevant clerical experience and be able to work on your own initiative and as part of a team. Good communication and inter-personal skills and the ability to work to agreed deadlines are essential. It would be beneficial if you had knowledge of Council services and knowledge of Microsoft Office software packages.
Job Description
Job Outline:
The Clerical Officer will provide appropriate clerical support to colleagues and senior officers with duties associated with the servicing of the Council, its Committees and Sub-Committees and Working Groups, as well as a range of general clerical duties.
Main Duties and Responsibilities:
1. Assisting in the provision of a comprehensive committee and secretariat facility for a number of Committees, Sub-Committees and other bodies such as Working Groups, Joint Committees and the Children's Panel Advisory Committee and other joint working arrangements with which the Council becomes involved or for which it undertakes responsibility, in particular -
(a) assisting with the co-ordination and proof reading of minutes following final revision by the Clerk to the Committee and arranging reproduction; and
(b) providing assistance with the Council's central text retrieval search system for the management of minutes, agenda and reports.
2. Undertaking such clerical duties as may, from time to time, be allocated to the post in an effective and efficient manner in accordance with the prescribed Service and Divisional performance targets.
3. Assisting with the delivery of a clerical support service to elected members, Council Services and the public.
4. Processing general correspondence and dealing with enquiries from other Services and members of the public.
5. Undertaking such other duties as may, from time to time, be ascribed to the post.
