Food Safety : Document Control Policy

Aim

 

The aim of this procedure is to ensure that only up-to-date copies of appropriate documentation including policies, procedures, legislation and codes of practice are readily available for Food Safety Officers.

 

Review

 

This document will be reviewed in the event of any significant or relevant changes in food safety law or enforcement practice and at at least on an annual basis from the date of its implementation.

 

The review will be undertaken by a senior member of the Food Safety management team.

 

Corrective Actions

 

If the procedure is not being adhered to corrective action will be taken which may include revision of this document or staff training, as appropriate.

 

Document Control Procedure

 

1.         Quality Assurance System

 

A computerised record of the quality assurance system is available to all Food Safety staff on their computers. This computerised record shall be the controlled version of the quality assurance system used by Food Safety staff.

 

The document control procedure for the quality management system is contained within QAP2, Section 1: Document and Data Control of the ISO 9001:2000 quality assurance system.

 

Any hard copies taken from the computerised system shall always be regarded as uncontrolled.

 

2.         Policies and Procedures

 

All internal Food Safety policies and procedures are published on North Lanarkshire Council's Corporate Internet site. These are the controlled version of policies and procedures used by Enforcement Officers.

Any changes to policies and procedures can only be authorised by the Food Safety Manager and thereafter the computerised records on the internet site shall be updated.

 

Any hard copies taken from the computerised system shall always be regarded as uncontrolled.

 

3.         Legislation and Guidance

 

The undernoted internet sites shall be the controlled sources of statutory instruments, codes of practice and other food related guidance for Enforcement Officers. These sites are regularly updated by the providers to ensure that the information is up to date.

 

Any hard copies of legislation or guidance taken from these sites shall always be regarded as uncontrolled.
