North Lanarkshire Leisure Ltd - Sports football pitches
All sports pitch booking must be made in accordance with these booking conditions and procedures.
1. Application for Serial Let
a) All booking requests for a Serial Let must be made on an official Serial Let booking form.
b) Serial Let allocations are made annually and given for the duration of the football session. All booking requests should be made in 31 July prior to the football session commencing.
c) The receipt of a Serial Let booking form does not constitute an acceptance of the booking by North Lanarkshire Leisure Ltd. The facilities shall not be deemed to be let until the applicant has received confirmation in writing.
d) All bookings made in respect of the Football Pitches are subject to the times stated on the Serial Let booking form. Hirers must ensure that the park and any changing facilities are cleared at the appropriate time.
e) Entry to the changing facilities will be 30 minuets before the time specified on the Serial Let or unless otherwise requested.
f) No booking will be accepted while any accounts for payment by the hirer to North Lanarkshire Leisure Ltd remain outstanding.
g) Teams are entitled to use only the facility booked and authorised and under no circumstances permitted to transfer lets to other clubs or organisations.
h) All applicants must be over the age of 18 years and proof of identity/age may be required.

j) North Lanarkshire Leisure Ltd reserves the right to grant or refuse any booking request in whole or in part without giving any reason.
2. Casual Booking
a) A booking is deemed to be Casual when the hirer books and pays for one let at a time as and when required.
b) Casual Bookings for Sports Pitch facilities can be made anytime in advance during the open football session with the exception of 8am and 12.00 every Tuesday.
c) In order to book, Teams / Clubs wishing to use these facilities will have to be issued with an individual member number. If they do not already have one, booking numbers can be allocated at any of the North Lanarkshire Leisure Ltd booking facilities. This booking number is not transferable.
d) Payment for all casual bookings must be made at the time of booking with no exclusions. These payments can be made in person or over the phone. (Please refer to section 3 of these conditions of let).
e) A booking will be confirmed on receipt of payment.
3. Payment
a) All Serial Let bookings without exception must secure their serial let allocation by paying for it on or before the Monday prior to their booking.
b) Failure to pay by this time will result in the booking being automatically removed and the pitch being available to rebook by other teams from 12:00am on the Tuesday.
c) Payment for all casual bookings must be made at the time of booking with no exclusions. These payments can be made in person or over the phone.
d) Failure to pay any accounts within the time required may result in no further availability of premises until the account is paid. When necessary, legal action may also be pursued.
e) Any unauthorised use of North Lanarkshire pitches will result in the appropriate charges being applied and no further availability of premises until the account is paid. Continued offending will result in teams no long allowed to uses North Lanarkshire Leisure pitches.
f) North Lanarkshire Council reserves the right to bill additional charges as a result of any damage or additional outlay caused as a direct result of the let.
4. Cancellation
a) North Lanarkshire Leisure Ltd reserves the right to cancel a let..
b) Notification of hirer's intention to cancel or alter a let must be made to the appropriate booking centre.
c) All Cancellations must be made at least 6 days in advance.
d) In the event of cancellation by the hirer the following charges are payable by the hirer:
i. More than 6 days - complimentary ticket will be issued.
ii. Less than 6 days in advance – no complimentary ticket will be issued and no cash refund will be given.
e) Where a cancellation is made by the referee due to inclement weather, a completed referees cancellation form must be returned to the appropriate booking facility showing details of cancellation and signed by a referee. In such cases a complimentary ticket will be issued which can be utilised for future bookings.
f) Failure to produce this referee's slip will result in no complimentary ticket being issued. Referees slips can be obtained from each sports facility.
g) Under no circumstances are cash refunds given when pitches are cancelled.
5. Child Protection Policy
a) The hirer is required to ensure compliance with the child protection policy and any subsequent related regulations.
b) Hirers without Child Protection registration number will be unable to book any North Lanarkshire Leisure Ltd facility.
c) Failure to comply with the given child protection policy will result in the termination of the let at any time.
6. Loss. Injury or Damage
a) The hirer is responsible for any loss or damage to any building, fixtures, fittings, contents, décor, goals fittings and ground condition beyond normal use during the let.
b) The hirer is advised that North Lanarkshire Leisure Ltd can accept no responsibility in respect of loss or theft of articles from the premises during the let or of any articles left on the premises at any time.
c) North Lanarkshire Leisure Ltd accepts no responsibility for any loss or damage, including personal injury and death, resulting from the premises proving to be unsuitable for the hirers intended use.
d) The hirer is advised to take out appropriate insurance to cover loss or damage of property belonging to themselves, North Lanarkshire Leisure Ltd or members of the public and to cover death or injury of persons in the building during the period of hire.
e) When an event is open to the public, the hirer is required to take out at least public liability insurance and the premises are let on the understanding that this will be done.
f) The hirer must indemnify North Lanarkshire Leisure Ltd against any loss or damage as described within these conditions.
7. General
a) The hirer will be required to remove all reasonable waste from the environs of the facility and where necessary make special arrangements for its removal before final vacation of the premises. Teams will be liable for any additional cost of clearance if found to have left waste on site.
b) No footwear should be placed on the seating in the dressing areas and should not be worn in the dressing room at any time.
c) Under no circumstances should any footwear be cleaned in the shower areas
d) The hirer may be required at request by North Lanarkshire Leisure Ltd to supply all associated certificates of qualification and insurance details in relation to the booking request.
e) The hirer may be required at request by North Lanarkshire Leisure Ltd to provide the respective details in relation to committee structure and the document of constitution.
f) The hirer is responsible for the provision of first aid during the times stated on the booking form. In the event of an accident during a game requiring emergency services, teams should ensure that there is always easy access to a public telephone or that a mobile phone is brought to each match.
g) All teams hiring pitches, their opposition and their supporters should make use of the officially designated car parks whenever and wherever possible rather than parking vehicles on grass verges or the public highway. Users of the facilities must always pay due regard to the proximity of local residents and any inconvenience should be kept to a minimum.
h) Advice and instructions of North Lanarkshire Leisure Ltd employees must be strictly adhered to at all times during the let.
i) North Lanarkshire Leisure Ltd or persons authorised by the Trust shall have the right to suspend or take action at his/her discretion on any matter which, in the opinion of the officers, does not comply with the terms of these conditions, or which he/she considers necessary in the interests of safety and good order or to deal with any contingency not covered by these Conditions of Let.
