Abronhill Sports Pavilion : conditions of booking

Bookings for North Lanarkshire Council sportspitches are accepted under the following conditions:-

1. All bookings must be made in accordance with these Booking Conditions and Procedures.

2. The Council will not be held responsible for loss, damage or injury to any person(s) or property(ies) arising from the use of any facility within its ownership.

3. Teams are entitled to use only the facility booked and authorised and under no circumstances permitted to transfer lets to other clubs or organisations.

4. Teams will be held responsible for any damage caused to a facility as a result of misuse or vandalism by their team during their booking. This includes damage to the playing surface caused by unauthorised use.

Casual Bookings

1. Provisional casual bookings will be accepted by personal visit or telephone call to the appropriate sports facility and will be retained, on a provisional basis, for a maximum of 24 hours. Thereafter, the booking will be deleted from our booking sheets if payment has not been made within that period.

2. Payment must be completed in full, to confirm the booking, at the appropriate sports facility at least 48 hours before the required date of booking. No provisional casual bookings will be accepted less than 48 hours before the start of the booking and confirmed bookings will only be accepted within this period if staff and the pitch requested can be arranged.

3. Teams may book more than one date, any period in advance, for fixtures on a first come/first served basis following the allocation of serial lets.

4. Each casual booking is accepted on the understanding that it is for one match only and within the allocated time of the booking.

5. Only one booking will be allowed per sportspitch in the morning, the afternoon and the evening with kick-off times being no later than 10 a.m., 3 p.m. and 7 p.m. respectively.

6. Upon payment and therefore confirmation of the provisional casual booking at the appropriate facility you will be asked to complete an application form. You will then be issued with a pink copy of this form. This pink copy must be retained and shown to the Pavilion Attendant prior to access being granted to the facility. The pink copy will act as proof to our staff that the use of the facility has indeed been booked and authorised. Failure to produce this pink copy will result in the match not being permitted.

Serial let bookings

1. Serial let applications will be invited in July of each year allowing teams to request use of sportspitches they would require for the forthcoming season. Upon receipt of all applications by the appropriate submission date, pitches will be allocated ensuring that each team is treated fairly.

2. Following approval of serial let applications, you will receive confirmation of the bookings you have been allocated and this information will be circulated to the appropriate sports facility and the Pavilion Attendant/Caretaker for their information.

3. Payment must be made in full at the appropriate sports facility at least 48 hours before the date of your confirmed booking.

4. Failure to pay by this time will result in the cancellation of that booking and we will seek to offer this sportspitch to other teams who may be interested.

5. Should payment not be made for the sportspitch and your team plays on the sportspitch, all future allocation of lets will be cancelled.

General

1. When a requested facility is not available, the Council will endeavour to offer an alternative - subject to availability.

2. Regular inspections of the sportspitches will take place and should a problem occur with the facility or pitch itself, which may require cancellation, whether it be due to vandalism or inclement weather, teams will be contacted as soon as the Council become aware of the problem. Teams are requested in the event of inclement weather to contact the appropriate booking facility to confirm whether or not the pitch is playable. In such a case, teams will be able to request a complimentary ticket, assuming the let had been paid for at the time of the cancellation.

3. Teams who disregard Council cancellations will be charged with the costs of repair to any damage to the playing surface and face a ban on future bookings.

4. Teams wishing to cancel a confirmed booking must do so with the relevant booking facility at least 48 hours before the time and date of booking and do so by completing the appropriate cancellation form at the booking facility. Failure to do so may result in the full charge being made.

5. Any team who fails to appear for their match, having confirmed their booking, will not receive a complimentary ticket.

6. Where a game is cancelled by the referee due to inclement weather, a completed referees cancellation form must be returned to the appropriate booking facility showing details of the cancellation and signed by the referee. In such cases a complimentary ticket will be issued which can be utilised for future bookings. However, failure to produce this referees cancellation slip will result in no complimentary ticket being issued. Referees cancellation forms can be obtained from each sports facility.

7. Pavilion Attendants or other staff will not accept bookings, cancellations or cash.

8. The Pavilion Attendant or staff reserve the right to refuse access to a facility and pitch if they believe it to be in the best interests of the team or the Council.

9. Please ensure that the receipt which you receive from the sports facility staff at the time of your payment is retained and shown to the Pavilion Attendant prior to access being granted to the facility. This receipt will act as proof to our staff that the use of the facility has indeed been booked and authorised. Failure to produce this receipt will result in the match not being permitted.
